Terms & Conditions
By booking a place for your child in our multi-activity club, you agree to the following terms and conditions:
1. Booking and Payment
- Registration: All bookings must be completed through our online booking system. Parents/guardians must provide accurate and up-to-date information, including medical details, allergies, and emergency contact information.
- Payment: Full payment is required at the time of booking to secure your child’s place. Discounts are available for Robert Bloomfield Academy students.
- No Walk-ins: We do not allow children to attend without prior booking. No walk-ins or pay-on-the-day options will be available.
- Cancellations/Refunds: Cancellations must be made with at least 5 days' notice to receive a full refund. This includes sickness or the need to self-isolate. Unfortunately, we cannot offer refunds with less than 5 days' notice due to pre-organized equipment, staffing, and booking costs. However, we may be able to reschedule your booking to another available session during the same week, subject to availability.
- Club Cancellation: Axis Pathways reserves the right to cancel any club day or event at short notice to ensure the safety of participants and staff. If we cancel a session, you will be entitled to a full refund for any full days that do not take place.
2. Child’s Safety and Well-being
- Medical Conditions: It is the responsibility of the parent/guardian to disclose any medical conditions, allergies, or additional needs at the time of booking. Axis Pathways will not be held responsible for any incidents arising from undisclosed medical issues.
- Emergency Contact: Parents/guardians must provide an emergency contact number that is reachable during the club’s operating hours (Sundays, 9 AM - 12 PM).
- Illness: Children displaying symptoms of illness (fever, vomiting, etc.) should not attend the club. Axis Pathways reserves the right to refuse entry to any child who appears unwell.
- Medication: If your child requires medication during the club, you must provide clear instructions and written consent for administration. Medications must be labelled with your child’s name and dosage instructions.
3. Behaviour and Conduct
- Respect: All children are expected to respect staff, fellow participants, and equipment. Any disruptive or inappropriate behaviour will be addressed, and parents will be notified.
- Bullying: Bullying, physical aggression, or any form of discrimination will not be tolerated. In severe cases, parents may be asked to collect their child, and further participation in the club may be reconsidered.
- Three Strikes Policy: If a child repeatedly misbehaves, they will receive up to three warnings ("strikes"). After three strikes, parents may be asked to collect their child early, and the child may be temporarily or permanently excluded from further sessions.
- Removal: Axis Pathways reserves the right to remove any child whose behaviour consistently disrupts the enjoyment and safety of others.
4. Parental Responsibilities
- Drop-off and Collection: Parents/guardians are responsible for dropping off and collecting their child on time. Drop-off begins at 8:50 AM, and collection must be no later than 12:10 PM. Parents must sign their child in and out of each session.
- Designated Drop-off Point: Parents are not permitted to enter the building. Children must be signed in and out at the designated collection point outside. If required, parents should adhere to social distancing guidelines while queuing.
- Late Collection: If you are late collecting your child, a late fee may apply. Repeated late collections could result in your child’s place in the club being reconsidered.
5. Liability
- Personal Items: Axis Pathways is not responsible for the loss or damage of personal items brought to the club (e.g., phones, clothing, sports equipment).
- Injury: Axis Pathways will take every precaution to ensure the safety of all children. However, parents acknowledge that participation in physical activities carries some risk. Axis Pathways will not be held liable for any injury unless caused by negligence on the part of our staff.
- Insurance: All children are covered by public liability insurance during the session.
6. Use of Photos/Media
- Consent: Axis Pathways may take photos or videos during the club for promotional purposes (social media, website, etc.). Parents/guardians will be asked to give their consent during the registration process. If consent is not given, we will ensure that your child is not photographed or filmed.
7. Changes to Terms
- Axis Pathways reserves the right to modify these terms and conditions at any time. Any changes will be communicated to parents in advance.
By completing the booking, you acknowledge that you have read, understood, and agree to these terms and conditions.
